Job Description Overview 

What You’ll Be Doing (Role) 

This position provides administrative and program support to the Chief Social Impact Officer (CSIO) and the Chief Ethics & Compliance Officer (CECO).  You will be an integral team member of both departments. The role reports to the CISO and CECO and is part of the larger Legal and Global Affairs (LGA) support function. The (LGA) department comprises legal, global impact and government affairs functions. The position will be based in San Francisco or San Jose.

  • Supporting Chief Ethics & Compliance Officer and Chief Social Impact Officer, including:
    • Managing multiple calendars to proactively anticipate and resolve meeting conflicts, setting up critical meetings across global time zones
    • Coordinating complex domestic and international travel logistics and preparing detailed itineraries
  • Conserving time by reading, researching, and routing correspondence; drafting, editing and proofing letters, and documents, including presentations; collecting and analyzing information; initiating telecommunication. Support with Board presentations
  • Executing new employee and contractor onboarding logistics
  • Finding new and efficient ways to create work processes to help maximize leadership’s time, including weekly and quarterly reporting, goal tracking, and team meetings
  • Enhancing and maintaining systems and processes to help maximize time, identifying where there are gaps and/or when iterations may be needed in order to optimize for efficiency

Project Coordination and External Relations

  • Planning, organizing, and executing special projects, including events, off-sites, and preparations for senior leadership meetings
  • Acting as a liaison for assigned senior leaders relaying and exchanging information with others, including but not limited to: executives, senior leaders, board members and clients, and other organizations or constituents. 
  • Supporting the CECO and CSIO in managing all external relationships, partnerships and communications - tracking, follow-up, and reporting for all meetings and conferences.
  • Managing and updating CSIO customer relationship management (CRM) database
  • Maintaining the Global Impact external conference list, prioritization and team attendees
  • Creating department updates on the intranet for intra-department and inter-department sites
  • Tracking and helping drive completion of key deliverables and follow up on outstanding items
  • Assist in other ways as needed, including owning or supporting ad-hoc projects


  • Managing purchase orders and vendor onboarding
  • Managing expense reports coordination and submissions
  • Maintaining third-party resource subscriptions
  • tabbing, scanning, filing) and processing signed agreements
  • Managing facilities/IT troubleshooting and submitting service tickets for remediation


  • At least 6+ years of in-house experience as an administrative assistant supporting senior level executives
  • Experience working with legal or social impact departments strongly preferred
  • Experience in a dynamic high-performing environment requiring a high level of responsiveness
  • Highly motivated, organized individual able to deliver results with minimal supervision
  • Project management experience
  • Familiarity with PC and Mac O/S
  • Strong word processing and presentation skills with expertise in Google Suite and Microsoft Office Suite, DocuSign required
  • Bachelors or equivalent preferred
